German universities run two intakes: winter semester (October) and summer semester (April). Winter intake is larger for most master's programs — more open seats, more scholarship cycles, more research positions becoming available.
18 Months Before Start: Research and Shortlisting
Check the Zulassungsordnung for each target program. Note language requirements (most demand either a B2/C1 German certificate or IELTS 6.5+ / TOEFL 90+ for English-taught programs), prerequisite subject areas, and the specific application portal each university uses. Some use Uni-Assist, others use their own system.
12 Months Before: Language Tests
Book your test dates now. TestDaF, DSH, IELTS, and TOEFL test centers fill up. Do not plan to sit a test in March for a January deadline. Results typically take 3–5 weeks to arrive.
10 Months Before: Official Transcripts
"Official" means original documents, often with an apostille. Your university's registrar will tell you the process — it typically takes two to six weeks, longer for institutions with older paper records. If your transcript is not in German or English, add another two to three weeks for a certified translation (€100–200 from a sworn translator).
8 Months Before: Contact Referees
If your target programs require letters of recommendation, email potential referees now. Give them six weeks. Professors who agree in October write better letters than those rushed in December.
6 Months Before: Motivationsschreiben
Draft your statement of motivation. The strongest ones name specific professors' research by title, explain why this program specifically rather than the category of program, and address any gaps in the application honestly.
4 Months Before: Submit to Uni-Assist
Uni-Assist charges €75 for the first application and €15 per additional university using the same documents. Submit with time to spare — processing takes 4–6 weeks and rejected documents mean resubmission delays.
After Submission: What Happens Next
Admission decisions come 2–4 months after the application deadline. Once you receive a Zulassung (offer), you have a Rückmeldefrist — usually two to four weeks — to accept. Missing this deadline releases your seat to the waitlist.
The step most applicants underestimate: everything above depends on having your certified documents ready. Start the transcript and translation process before anything else.
