How to Use AI for Meeting Preparation and Follow-Up

Meetings consume a significant portion of knowledge worker time. AI can compress the overhead on both sides of the meeting — preparation and follow-up — without requiring any special tooling.

Pre-Meeting Research (15 Minutes to 3 Minutes)

For external meetings: paste the company name, meeting purpose, and names of attendees into Claude or ChatGPT and ask for a briefing. The output: recent news about the company, typical talking points for this meeting type, and questions worth asking. This does not replace doing the actual research, but it compresses the background research from 15 minutes to 3 and ensures you have not missed obvious context. For internal meetings: ask the AI to produce an agenda from your bullet points, suggest discussion questions, and flag potential objections or discussion points. A structured agenda distributed in advance consistently reduces meeting length.

During the Meeting: Note-Taking Structure

AI cannot attend your meeting (without dedicated meeting tools). What it can do: give you a note-taking template before the meeting that structures your capture. A simple template prompt: “Create a meeting notes template for a 30-minute project status meeting with the following agenda items: [list them]. Format: each agenda item with space for discussion, decisions, and action items. Action items should have owner and deadline columns.” Using a consistent structured template means the post-meeting processing becomes much faster.

Post-Meeting: From Notes to Action Items (5 Minutes)

After the meeting, paste your raw notes into Claude and ask: “Extract all action items from these meeting notes. Format: action item, owner, deadline. Flag any decisions made and any open questions that were not resolved.” Then use this output to draft the follow-up email: “Write a professional meeting follow-up email summarizing the meeting in 2-3 sentences, listing the action items from the attached list, and confirming next steps. Tone: professional but not overly formal.” Total time for follow-up: 5–8 minutes versus 15–20 without AI.

Meeting Summaries for Stakeholders

For meetings where you need to summarise to people who were not present, AI can compress your notes into the format most useful for the recipient. Prompt: “Summarise these meeting notes for the CTO. She only needs to know: 1) key decisions made, 2) blockers that require her input, 3) timeline changes. Format: 3-4 bullet points, no filler.” Calibrate the summary format to the stakeholder’s known preferences — this is where your knowledge of the recipient adds value AI cannot.
